Generating sales orders by date report

Introduction

Introduction

This screen allows you to search and generate report for sales orders based on the sales order's date or fulfillment date.  You can also choose to generate and print a concise or an extended sales order report by day, week, or month.

Order/Reports/Date

Description

You can filter the sales order report that you want to display by defining your search criteria and clicking Start. The sales orders that match the search criteria you have defined are then displayed. A list of options appears if you click on the Browse button in the Warehouse, Sales order, Your ref., and other boxes. From the list, make your selection and click Select.

Range section

Warehouse

Type or select the warehouse to display sales orders with the selected warehouse. You can also select the All check box to display sales orders with any warehouse. 

Note: This box is available only if you have E-Warehouse Management in your license.

Sales order date

Type or select the start date and end date to display sales orders that were created within that period. You can also select the All check box to display sales orders with any sales order date. By default, the All check box is selected.

Note: Typing or selecting only the start date will display sales orders that were created on and after the selected date. Typing or selecting only the end date will display sales orders that were created on and before the selected date.

Fulfillment date

Type or select the start date and end date to display sales orders that were fulfilled within that period. You can also select the All check box to display sales orders with any fulfillment date. By default, the All check box is selected.

Note: Typing or selecting only the start date will display sales orders that were fulfilled on and after the selected date. Typing or selecting only the end date will display sales orders that were fulfilled on and before the selected date.

Sales order

Type or select the sales order or the range of sales orders to be displayed. You can also select the All check box to display all the sales orders. By default, the All check box is selected.

Your ref.

Type or select the customer’s reference number or reference number range to display sales orders with the selected reference number. You can also select the All check box to display sales orders with any reference number. By default, the All check box is selected.

Invoice debtor

Type or select the ID or name of the invoice debtor of the sales orders to be displayed. You can also select the All check box to display sales orders with any invoice debtor. 

Classification (for invoice debtor)

Type or select the classification of the debtor(s) of the sales orders to be displayed. You can also select the All check box to display sales orders with any classification.

Note: The classification of the invoice debtors depends on the Classification defined at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Basics tab. You can also define classifications at System/General/CRM/Classifications.

Debtor

Type or select the ID or name of the debtor of the sales orders to be displayed. You can also select the All check box to display sales orders with any debtor.

Classification (for debtor)

Type or select the classification of the debtor(s) of the sales orders to be displayed. You can also select the All check box to display sales orders with any classification.

Note: The classification of the debtors depends on the Classification defined at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Basics tab. You can also define classifications at System/General/CRM/Classifications.

Selection code

Type or select the selection code of the sales orders to be displayed. You can also select the All check box to display sales orders with any selection code.

Note: The selection code of the sales orders depends on the Selection code defined in the conditions screen (go to Order/Entries/Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Analytical group section. You can also define selection codes at System/Logistics/Selection codes.

Resource

Type or select the resource that created the sales order to display sales orders with the selected resource. You can also select the All check box to display sales orders created by any resource. 

Cost center

Type or select the cost center of the sales orders to be displayed. You can also select the All check box to display sales orders with any cost center.

Item

Type or select the item code to display sales orders with the selected item. You can also select the All check box to display sales orders with any item.

Assortment

Select the assortment to display sales orders with the selected assortment. There can be more than one Assortment box.

Note: The number of Assortment boxes depends on the settings defined at Order/Items/Assortments. You can also define assortments at System/General/Settings, under Item data settings.

Extra section

Group by

You can specify how you want the sales orders to be displayed. Select any of the following:

  • Sales order date -- Select this to display the sales orders based on the date of the sales orders. By default, this is selected.
  • Fulfillment date -- Select this to display the sales orders based on the fulfillment date of the items. 

You can also specify whether you want to view the sales orders per day, per week, or per month. Select Day, Week, or Month to display sales orders according to the selected option. By default, Day is selected.

Status

Select the status to display sales orders with the selected status. You can select any of the following:

  • To be delivered -- Select this to view all the sales orders which have not been fulfilled.
  • Delivered -- Select this to view all the sales orders which have been fulfilled.

You can also select the All check box to display sales orders with any status. By default, the All check box is selected. 

Authorized

Select the type of sales orders to be displayed. You can select any of the following:

  • Yes -- Select this to view the sales orders that are authorized. By default, this is selected.
  • No -- Select this to view the sales orders that are not authorized.
  • All -- Select this to view both the authorized and unauthorized sales orders.

Note: This box is available only if you have selected the Sales order check box at System/General/Settings, under Order settings.

Details

Select this check box to display individual sales orders for every period in the report. If you want to view the sales order lines of a sales order, double-click the sales order number (in blue).

Clear the Details check box to view the total number of sales orders for the selected period. If you want to view the individual sales orders created during that period, double-click on the period (in blue).

Button

Start

Click this to display the report based on the defined criteria.

Close

Click this to exit.
